  • Health data provided via our health questionnaire (including information relevant to fitness participation and safety).

  • Photos and videos from classes, seminars, or events (with your consent where required).

Where we rely on legitimate interests, these include: maintaining a safe training environment, preventing fraud or abuse, improving our services, and ensuring the security of our facilities. We have balanced these against your rights and freedoms and believe our interests do not override yours.

Special category data (health)

We may process information relating to your health to ensure that you can participate safely in training. This will only be collected with your explicit consent and used for safeguarding your wellbeing.

Criminal convictions and safeguarding

As part of our safeguarding duty, we may ask you to disclose details of relevant criminal convictions in our health/safeguarding form.

We only process this information when strictly necessary to:

  • assess whether it is safe and appropriate for you (or your child) to participate in training;

  • fulfil our legal and safeguarding obligations to protect children and vulnerable people.

We will not carry out blanket checks or automated decisions. Disclosures are handled confidentially, stored securely, and access is strictly limited to safeguarding leads. This information will be retained only as long as necessary for safeguarding purposes, normally no longer than 6 years after membership ends, unless required by law.

Children’s data

We do not knowingly collect data directly from children without parental/guardian consent. For members under 16, parental/guardian consent is required to complete health/safeguarding forms.

Data sharing

We may share personal data with trusted service providers (e.g. booking systems, payment processors, cloud storage). All providers are contractually required to protect your data.

If data is transferred outside the UK, we ensure that appropriate safeguards are in place (such as UK adequacy decisions or standard contractual clauses).

Retention periods

We keep your data only as long as necessary:

  • CCTV: 10 days unless required for investigation.

  • Membership records & billing: membership period + up to 6 years.

  • Health & safeguarding forms (including criminal conviction disclosures): while membership is active + 6 years after, unless required longer by law.

  • Photos/videos: until consent is withdrawn, or up to 6 years after membership ends.

  • Marketing contacts: until you unsubscribe.

You have the right to:

  • Access your data.

  • Correct or update inaccuracies.

  • Request erasure (where applicable).

  • Restrict processing in certain circumstances.

  • Object to processing for direct marketing.

  • Withdraw consent at any time.
